Frequently Asked Questions

Some of the common questions we receive at SmartMLS.

WHERE WILL YOU BE LOCATED?

We will continue to operate out of two offices.  One in Norwalk and one in Wallingford.  The Norwalk office, or SmartMLS West, is located at 101 Merritt 7, Corporate Park Suite 23, Norwalk, CT.  The Wallingford office, or SmartMLS East, is located at 860 North Main Street Extension, Suite 3, Wallingford, CT.

WILL MY KEY WORK THE SAME?

Yes, however you managed your keys prior to the merger will be how you manage your keys going forward.

CAN WE SEE ALL OF THE LISTINGS NOW?

The merge of the backend databases began in January 2017 and will be fully merged and live this summer.  In the meantime you can view all of the merged data by using the Homesnap app, contact us for more information.  It’s part of your membership and thousands of agents in Connecticut are using it.

DO I NEED TO PAY TWO SEPARATE FEES?

If you are a member of both CTMLS and GFC CMLS you will continue to pay both fees until the databases are merged and we are operating a common front-end system.  This will take place this summer.

WILL LISTINGBOOK STILL BE AVAILABLE?

Yes. Prior to the merger, GFC CMLS members had access to the Listingbook product.  Going forward, all SmartMLS members will have access to Listingbook.

IF I AM A DUAL MEMBER WHICH LISTING GETS CARRIED OVER?

There are a number of factors that go into deciding which listing will be carried over into SmartMLS when there is a duplicate listing situation. Among them include parcel number, address, city, zip, office, number of photos and most current listing information. For example if we have a duplicate listing that is under deposit in one system and under deposit continue to show in the other system we would keep the under deposit listing record.

ARE AGENTS AND CLIENTS USING HOMESNAP? SHOULD I?

Over 48 percent of the combined subscribers to GFC and CTMLS are using the Homesnap app. Realtors in Connecticut have invited nearly half a million clients to join them on Homesnap since our launch in February 2017. If you are not using Homesnap you should.

HOW MUCH DOES IT COST TO BE A SUBSCRIBER TO SMARTMLS?

SmartMLS membership costs only $26 per month.

If you were a CTMLS member that amounts to a reduction in your monthly fees by over 10 percent.  Former GFC CMLS members will see no increases in their fees.

WILL WE STILL BE USING MATRIX?

Yes, SmartMLS will use Matrix after the merge.  We will be upgrading to the newest version, Matrix 7.0 and we will offer training this summer.  The learning curve is small on the new Matrix version, so if you already know Matrix you should be able to step right into it.  It has an improved Client Portal, better print options and an improved user interface.  We’ll update you along the way and make sure you are in the know!

WILL I HAVE TWO IDs?

No.  Once the data is merged you will just need one login id.

WHAT PRODUCTS AND SERVICES WILL BE AVAILABLE?

We will blend all of the GFC CMLS and CTMLS products and offer all of them to SmartMLS members!

WHY AM I BEING BILLED MORE FREQUENTLY THAN USUAL?

We are working to synchronize billing between the former GFC CMLS and CTMLS members.  We have some shorter billing cycles to achieve this but once this is established you will be billed twice annually to cover November-April and May-October.

WILL MY AUTOMATIC BILLING BE CARRIED OVER?

Yes. Auto-Pay information within your billing profile will be carried over into the new SmartMLS.

HOW WAS THE MLS ID SELECTED FOR DUAL MEMBERS?

A dual member of GFC and CTMLS was selected by the amount of activity that was stored under that ID set. For example, if you had 25 contacts and 25 auto emails in CTMLS but only 5 contact/5 auto emails in GFC then your CTMLS ID was selected as your primary ID set. Any listings that exist under the ID that was eliminated would be ported into the SmartMLS id. If there are duplicate listings between the two ID sets we would keep the listing that has the most recent information. However there are other factors that come into play when we select which listing to keep and which listing to drop when there is listing duplication.

ARE ALL THE FORMS AVAILABLE ON INSTANET?

Instanet will carry the following Forms libraries:  SmartMLS, CTR, Waterbury, New Haven/Middlesex and Eastern as these have all been provided by these Associations.  The Waterbury, New Haven/Middlesex and Eastern forms libraries are specific to the members of these specific Associations.

MATRIX FAQS
WILL MARKET AREAS/NEIGHBORHOODS POPULATE WHEN YOU SEARCH BY TOWN?

Where space allows market area and neighborhoods will be displayed. As a suggestion, in the single line displays you can always add or remove columns that may not apply to your needs. A simple click in the header line of your single line view gives you the option to add/remove columns.

HOW DO YOU CHANGE YOUR DEFAULT DISPLAY?

The gear that is found directly underneath the Results tab on your Search Results page within Matrix allows you to change/set your default views.

WILL PRINT BE LARGER?

Most views will have a larger font size. However the single line view shrinks to fit the page. As an alternative there is a Single Line print called Agent Single Line (Landscape) which does provide a larger font size.

HOW MANY CHARACTERS FOR REMARKS?

You may enter up to 1500 characters in the public remarks field and 500 characters in the Agent Remarks field.

WILL ALL TOWN TAX RECORDS BE THERE?

Assuming that we have the most updated Tax information for all CT towns through our Tax Vendor, The Warren Group, then all tax information will be available in the system.

IS THERE A MOBILE APP FOR THE NEW MATRIX/SMARTMLS?

The recommended App for SmartMLS is HomeSnap. Download it today and share with your clients.

WHY DON'T I HAVE THE AGENT TAB ON HOMESNAP?

You will see the Agent Tab in Homesnap once you download the Homesnap App from the App store or Google Play and register as an agent. If you have previously downloaded the Homesnap app as a consumer there will be a conflict and likely your account will need to be refreshed. If you believe this is the case, please connect with SmartMLS support to assist you further.

HOW DO I GET TO THE INRIX DRIVING TOOL? DO CLIENTS HAVE ACCESS TOO?

INRIX drive time is for your customers to use within the Client portal. As well as through a regular agent search within Matrix using the Mapping tab.

WILL CLIENT FULL CARRY OVER?

Yes. Client Full will be a display format that will be available in SmartMLS.

WHERE CAN WE FIND THE NEW BANNER HEADERS?

The new banners can be found under My Matrix, My Information.

CAN I HAVE A BANNER HEADER ADDED FOR MY BROKERAGE?

Yes. Please provide us with a customer banner/header that you would like to be programmed into the system for agents within an office to select.  Please be sure to provide the graphic to be a pixel size of 1600 x 120.  Once we have your graphic we will have it loaded into the system and notify you of its availability.  Agents will then need to go into their Matrix profile and update their header/footer by selecting the appropriate broker specific banner. Custom Banner graphics may be submitted to Support@SmartMLS.com.

HOW CAN I ACCESS THE DATA CO-OP?

You may access Data Coop direct from a Data Coop icon on a listing display or direct from the SmartMLS  dashboard.

HOW DO I ACCESS THE SMARTMLS MATRIX SYSTEM?

You can go to http://SmartMLS.com and use the Login button

WILL INCOMPLETE LISTINGS CARRY OVER INTO MATRIX?

No, incomplete listings will not carry over into SmartMLS.

WILL MATRIX 7 IMPORT INACTIVE CLIENTS?

Yes.   Any clients that are listed under your ID set in your current system will be imported into SmartMLS.

CAN AN AUTO-EMAIL BE MADE AVAILABLE FOR OPEN HOUSE SEARCHES?

No. At this time this is not available.

WHICH WEBSITES PARTICIPATE IN LISTTRAC?

At this time, we can tell you that Zillow Group, HomeSnap and tracking from within the MLS system have been activated. We are working on configuring a number of other sites and will provide a complete list as soon as it is available.

WILL THERE BE IMPROVEMENTS MADE TO CMAS?

The overall functionality of the CMA will not be changing but you will see improvements within the CMA presentation format.

HOW WILL IDX BE TRANSFERRED OVER?

The SmartMLS staff has been in communication with all third party vendors to help them transition to the new SmartMLS combined database format. Any agent that has an IDX search setup within Matrix will receive an email to help with the configuration within Matrix.

DO I HAVE TO PAY WHEN I POST LISTINGS TO FACEBOOK?

Using the My Listings Widget from the Matrix homepage you can select your desired listing and use the Share button. Additionally if you pull up a listing within the HomeSnap App you can use the Share button as well within the app and share to Facebook without any cost.

CAN COMMERCIAL LISTINGS BE ADDED?

Commercial listings can be added into SmartMLS through the Listing Input module.

ARE FLOODMAPS STILL AVAILABLE?

Flood maps will be available within Matrix through the integrated Tax feature and can be access from the Agent Full Tabbed display by selecting the Flood map tab. Additionally, Flood maps are available through Realist.

WILL MY HOTSHEETS CARRYOVER?

Once in SmartMLS you will need to setup and save your new SmartMLS Hotsheet which will allow you to cover all towns from across the state. Your Hotsheet criteria from the GFC system will not convert into SmartMLS. Your Hotsheet criteria from CTMLS will not convert into SmartMLS.
